FormSyncer (“we,” “our,” or “us”) provides a web application for creating and routing forms, such as HR leave requests, and generating PDF documents. By using FormSyncer and connecting your Google account, you agree to the practices described in this policy. 1. Information We Collect

1.1 Information You Provide Directly

  • Account Information: Name, email address, password, and company name.

  • Payment Information: Billing details processed through our third-party processor, Stripe. We do not store full credit card numbers.

  • Profile Information: Optional details such as phone number or company address.

  • User Content: PDF templates you create, form submissions you route, and the generated PDFs.

1.2 Information Collected from Google APIs (with your explicit consent)

When you grant us access, we collect the following information from your Google Account solely to provide the FormSyncer service:

  • Basic Profile Information: Your primary email address and personal info (name, profile picture) to identify you and manage your account. This uses the following Google API scopes:

    • https://www.googleapis.com/auth/userinfo.email

    • https://www.googleapis.com/auth/userinfo.profile

  • Google Drive Data: We access, view, create, edit, and delete specific Google Drive files that you explicitly choose to use with FormSyncer. This includes saving generated PDFs to a location you select in your Drive. This uses the following Google API scope:

    • https://www.googleapis.com/auth/drive.file

  • Google Docs Data: We access, view, create, edit, and delete Google Docs documents when you explicitly choose to use them as templates or destinations for your form data within FormSyncer. This uses the following Google API scope:

1.3 Information Collected Automatically

  • Usage Data: Pages visited, features used, time spent, and clicks.

  • Device Information: IP address, browser type, and operating system.

  • Cookies: Session cookies, preference cookies, and analytics cookies.

  • Log Data: Server logs, error reports, and performance metrics.


2. How We Use Your Information (Specific to Google User Data)

We use the information collected from Google APIs only for the following purposes, as justified during our verification:

  • To Save Generated PDFs: To automatically save PDF documents (e.g., completed HR leave forms) to a specific folder in your Google Drive, as you direct.

  • To Provide Custom Sharing Links: To create and manage masked or custom-domain links pointing to the PDFs stored in your Google Drive for easy sharing within your organization.

  • To Manage Google Docs Templates: To allow you to use your existing Google Docs documents as templates for generating new documents or PDFs.

  • To Facilitate Core Service Functionality: To identify you, manage your sessions, and enable the core form-routing and PDF generation service.

Limited Use Compliance Requirements

Our use of Google user data is restricted to providing these core features. As required by the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy#limited-use-requirements), we confirm that we:

  • DO NOT use Google user data for any advertising or marketing purposes.

  • DO NOT allow humans to read Google user data without your explicit consent, except as necessary for security, debugging, or compliance (under strict, documented conditions).

  • DO NOT transfer Google user data to any third party except as necessary to provide the service (e.g., hosting with AWS) or to comply with law.

  • DO NOT use Google Drive or Google Docs data to build user profiles or for any purpose unrelated to providing the FormSyncer service.


3. Data Sharing and Disclosure

3.1 We Share Information With:

  • Service Providers: We use third-party companies to perform services on our behalf:

  • Sell your personal information or Google user data to any third party.

  • Share your data with advertisers or advertising networks.

  • Use your content to train AI or machine learning models.

  • Access your ClickUp or Google data without your explicit, prior authorization.


4. Your Rights and Choices

You have the following rights regarding your data, including data obtained from Google:

  • Access: Request a copy of your personal data and Google user data we have stored.

  • Correction: Update inaccurate or incomplete information.

  • Deletion: Request deletion of your FormSyncer account and all associated data. This will revoke our access to your Google data.

  • Revoke Access: You can revoke FormSyncer’s access to your Google account at any time by visiting your Google Account’s “Third-party apps with access” page at: https://myaccount.google.com/permissions

  • Portability: Export your data in a machine-readable format.

  • Opt-Out: Unsubscribe from non-essential marketing communications.
